Role Overview
We’re looking for a personable, organised and proactive Office Manager to join a friendly HR team to look after our Corporate Head Office in central London. This is a 12-month Fixed Term Contract covering a period of maternity leave. This is a purely office-based role in central London, Tuesday to Thursday.
This role would suit someone with prior experience of office management looking for their next opportunity, or someone with relevant transferable skills looking to enter the corporate office environment.
A key purpose of the role is to foster a vibrant and safe office environment which supports the efficiency, creativity and sociability of our people. You’ll be managing all aspects of the office, from the physical space, through to Health & Safety and IT.
Key Responsibilities
Office Management
- Own responsibility for all aspects of the physical office environment; including facilities, maintenance, cleaning & waste management, security, equipment, post, catering, access control, insurance, storage & archiving and other workplace services.
- Be the first point of contact for anything office related, from internal staff, the landlord or building reception/security team, and service providers (incl. cleaners, deliveries and maintenance). Manage all office related third party suppliers, including service provision and contracts.
- Ensure the safe and reliable operation of any building systems and address any building defects (including HVAC, plumbing, electrical, etc) using the appropriate engineers or repair teams.
- Develop and maintain contract renewal and audit processes for all workplace services.
- Ensure the office is clean and tidy, and supplies are ordered and topped up where necessary (i.e. kitchens, toilets, client areas etc.).
- Work with our IT Team to ensure the office is set up correctly, user accounts are administered, and the office AV equipment functions well.
Health and Safety Management
- Ensure compliance with all relevant Health & Safety measures for the office, including fire safety, emergency and evacuation procedures, fire marshals and first aiders.
- Undertake risk assessments for the office environment; including DSE assessments, accident reporting, first aid, etc. Ensure risks are mitigated and managed.
- Keep up to date with technical facilities knowledge and with building, health & safety and fire regulations; ensuring that all employees and visitors to the office are in a safe working environment.
General Operations
- Assist the HR team as required, including the onboarding/exiting processes for new starters and leavers.
- As required, arrange corporate travel and accommodation for EMEA&NA based team members.
- Organise and deliver company socials, including the wellness breakfast, office drinks, parties, company events, etc.
- Work closely with the Social Committee to coordinate and create a fun and engaging work environment.
About You

- You will be friendly, confident, organised, efficient with have good time management skills
- Prior office management experience welcomed, but not required
- First aid trained or Health & Safety experience welcomed, but not required
- This is a purely office-based role, 3-days per week from our Head Office in central London (Tuesday to Thursday).
- Salary £30,000 per annum, pro-rated (so £18,000 to £20,000 for 3-days per week)
