Role Overview
As a B2B Logistics Administrator, you will play a crucial role in managing global sales orders, ensuring accurate and timely order processing while aligning with On-Time In-Full (OTIF) key performance metrics. You will be responsible for coordinating international shipments, export documentation, and logistics operations, ensuring seamless order fulfilment for our B2B partners, distributors, and commercial clients worldwide. Your role will also involve inventory management, compliance with international trade regulations, and proactive problem-solving to enhance customer satisfaction and operational efficiency. This is a part-time role for 20 hours over 5 days.
Key Responsibilities
- Manage UK and international B2B sales orders, from order placement to fulfilment, ensuring accurate order processing, shipment, and invoicing within agreed timescales.
- Proactively manage relationship with 3PL partners, negotiate freight rates, validate invoices and facilitate queries resolution
- Work closely with the Supply chain Manager to oversee white glove courier partners, ensuring timely and complete order fulfilment.
- Review and action 3rd party courier KPI and exception reports, resolving service issues to maintain SLAs.
- Assist in the organization of deliveries, identifying the most cost-effective transport solutions.
- Oversee import and export transactions for global container shipping (via sea, air, and road), ensuring compliance with international trade regulations.
- Handle Sales Return Orders efficiently, maintaining stock accuracy and managing B2B product exchanges or replacements.
- Review B2B order book, validating and aligning data for various business reports.
- Support warehouse operations by improving the daily Service Centre reconditioning process and managing Assembly Orders in Microsoft Dynamics.
- Work on continuous improvement projects related to B2B sales order processing and inventory management.
- Provide supply chain reporting and administrative support as needed.
Measures of success
- Order Accuracy Rate: High percentage of correctly processed and fulfilled orders without errors.
- On-Time Order Processing: Orders entered, validated, and confirmed within agreed timeframes.
- On-Time In-Full (OTIF) Delivery: Percentage of B2B orders delivered as per committed timelines and in full.
- Customer Satisfaction: Positive feedback from B2B clients on order processing efficiency and issue resolution.
- Stock Allocation Efficiency: Orders fulfilled from available stock without unnecessary delays.
- Exception Handling & Resolution Time: Quick and effective resolution of order discrepancies, stock issues, or shipping delays.
- System & Data Accuracy: Maintaining up-to-date and error-free records in ERP and order management systems.
- Collaboration with Supply Chain & Logistics: Effective coordination to ensure seamless order flow and timely shipping.
- Process Improvement Contribution: Identifying and implementing efficiencies to streamline order process
Previous experience within customer service, supply chain or administrative role
- Ability to follow process whilst also identifying continuous improvement opportunities
- A natural communicator, with excellent written and verbal skills.
- Able to prioritise, plan and find solutions quickly and consistently within tight restrictions.
- Full of positivity, enthusiasm, self-motivation, and commitment to the goals at hand.
- Knowledge of various IT packages (especially at ease with using spreadsheets) into Microsoft Office and Google Workspace, and ERP systems (preferably Microsoft Dynamics).
- A passionate, cross-functional, and proactive operator, both remotely and face-to-face.
- Comfortable with challenging the status quo; in asking ‘why’ and ‘why not’.
